Job Type: Permanent & Full-Time

Job Status: Hybrid. In-office 2-3 days/week

Training: First three months in the office as required 

Hours: 8:30 to 4:30 (40 hours a week)

Salary: $50,000 – $60,000 based on experience

Compensation: 3 weeks vacation and competitive benefits

Position Summary

We are looking for a highly competent, flexible, professional, honest, hard-working, team-player who excels at paying attention to fine details. You love data, data entry and problem-solving but aren’t afraid to step into the other needs of a small fast-paced business. You feel passionate about, and would be devoted to, making a difference in the world of dementia care. We are looking for the following:


Qualifications 

  • Proficiency in Excel, MS Word, Outlook, Zoom, and QuickBooks
  • Ability to learn new programs (including website navigation for processing purchase orders)
  • Prior bookkeeping and administrative experience
  • Loves organizing, inputting and analysing data and ensuring accuracy at each entry point
  • Able to lift 25 – 30 pounds (books for shipping)
  • High level professionalism
  • Excellent time-management skills
  • Positive attitude, even when dealing with difficult customers
  • Works as a team player
  • Will provide full meticulous attention to detail – no mistakes
  • Experience in health care/dementia care an asset


Job Requirement

  • Flexibility – e.g. – accommodate peak periods and various start and end times as per the changes in delivery times of educational events or other
  • Interested in learning more about dementia and DementiAbility and willing to be invested in cultivating new ideas that will help to grow the business
  • Collecting, managing and processing book orders
  • Able to learn quickly – e.g. – will learn how to use IT Programs associated with accessing orders and details on the website
  • Assist with inventory management (moving boxes from garage to basement shelves)
  • Packaging and posting book orders, registration materials, etc.
  • Search for details when needed (e.g. – do we need a different mail service)
  • Multi-tasking, with heavy workload at times
  • Assist with developing systems and processes for work as needed
  • Work with IT to resolve issues as they arise
  • Collect details to create a zoom link for workshops and send to registrants as per the designated date/time
  • Manage the zoom details for workshops when needed
  • Create invoices for workshops and other requests as needed
  • Can competently use excel
  • Order office supplies
  • Collect and mail receipts and all required documentation to Teri
  • Create and send Workshop certificates
  • Answer calls with the professionalism and with goal of having each person leave feeling satisfied and they are/may be right, and we will resolve the problem when problems arise
  • Upload files to Amazon when required, review items that will go to printing, organize printing details
  • Provide support for workshops – on zoom and when workshops are in person
  • With time, will be willing and able to use quick books and take over quick book activities (this may become an important part of the job)
  • Assist with investigating such things as cost of flights, cost of bookings rooms for workshops, ordering meals and refreshments, etc.
  • Flexibility is critical, as some working hours are early and some are later, based on our workshop schedules.
  • Working with the team, willing to do whatever needs to be done to get the job done with excellent outcomes
  • Other duties as required.
